WhatsApp and Excel are free and familiar, and they work for a venue with one court and a handful of regulars. Once you have several courts, an academy or staff on shifts, double bookings, unpaid fees and late-night messages add up. VenueOS replaces both with self-service booking, online payment and one shared calendar.
| Job | WhatsApp and Excel | VenueOS |
|---|---|---|
| Taking a booking | Owner or staff reply to each message | Players pick a free slot and book themselves |
| Avoiding double bookings | Depends on someone updating the sheet | Only free slots are shown; payment holds the slot |
| Collecting payment | Cash or UPI at the venue, matched by hand | Paid online to confirm; marked paid automatically |
| Academy fees | Excel sheet and one call per parent | Dues list and pay links sent in a tap |
| Attendance | Coach’s notebook | Marked on the coach’s phone; parents see progress |
| Today’s collection | Known when the front desk closes | Live on the owner’s phone, with alerts |
| Cost | Free | Flat monthly fee, no commission |
When are WhatsApp and Excel enough?
If you run a single court, know every regular by name, and one person handles all bookings, a group and a sheet can work. The cost is that person’s time and evenings.
What breaks as a venue grows?
More courts and more staff mean more copies of the truth. A booking taken on the phone is missed in the sheet, a fee paid by UPI is not matched to a student, and the owner only learns the day’s collection after closing.
What changes with VenueOS?
Players and parents serve themselves from a link, payments confirm bookings and fees automatically, and everyone works from one calendar and one customer list. You can keep using WhatsApp, now to share the booking link instead of taking bookings by hand.
